Job Responsibilities
Greet and assist visitors with a friendly and professional demeanour ensuring a welcoming reception area.
Provide support to HR activities such as maintaining employee records, assisting with onboarding processes and ensuring compliance with company policies.
Coordinate and schedule staff duties ensuring operational efficiency.
Answer and direct phone calls, handle inquiries and take messages as needed ensuring prompt communication within the office.
Prepare, draft and distribute internal and external correspondence , including reports, presentations, memos and meeting minutes.
Assist in recruitment processes including candidate sourcing, screening and interviewing.
Provide administrative support, including scheduling meetings, managing office supplies and coordinating travel arrangements.
Maintain office records and databases ensuring accurate and organized filing systems for easy retrieval of information.
Collaborate with different departments to ensure smooth day-to-day operations and help address any administrative needs.
Coordinate and plan company events and meetings.
Act as the point of contact for internal and external stakeholders, including clients, vendors and partners.
Assist with special projects and other duties as assigned.
Skills, Requirements and Qualifications
Prior experience as administrator, secretary or office receptionist essential
Must be detail oriented and demonstrate the ability to manage multiple tasks simultaneously, accountable and transparent, creative and team player.
Excellent communication, time-management and organizational skills.
Ability to multitask, prioritize tasks effectively and meet tight deadlines.
Proficient in Microsoft Office and other relevant software applications.
Excellent organizational and problem-solving abilities, with a keen attention to detail and a proactive approach to addressing issues.
Ability to maintain confidentiality and handle sensitive information with discretion
